# Invite employees

An invitation asks someone you employ to connect their own Lexpoint account to your workspace. They
accept it themselves, in their account, under a consent they can end at any time. Accepting does
**not** make them a member of your team.

## Before you start

**Invite employee** is disabled until the company check and your identity check are complete, or
Lexpoint has accepted the workspace. See
[Set up your employer workspace](/workforce/getting-started/set-up-your-workspace/).

To pick a work location in the invitation, add worksites first under
[**Settings → Program readiness**](https://my.lexpoint.io/employer/settings/program-readiness). You
can also assign one later.

## Open the invitation dialog

Select **Invite employee** on the dashboard or on
[**Workforce**](https://my.lexpoint.io/employer/workforce). The dialog has three methods: **One
person**, **File**, and **Workspace**.

Work email and Name filled with placeholder values (employee@example.com, Sample Employee), Job title filled, a worksite chosen, supervisor left on Assign later. Light mode, 1440×900 cropped to 1383×776. Redact the organization name behind the dialog, worksite labels, supervisor names, and the operator name in the header.
```
### One person
1. Enter **Work email** and **Name**. Both are required.
2. Optionally add **Job title**, **Work or report-to location**, and **Immediate supervisor**. The
   supervisor list is your owners and the people already connected to you.
3. Select **Send invitation**.
The invitation appears at the top of the **Invites** tab with its link.
### File
1. Prepare a CSV or Excel file whose first sheet has columns named **name** and **email**. Up to 100
   people, under 2 MB.
2. Drop the file on the dialog or choose it. Lexpoint checks the columns and shows how many people
   are ready.
3. Select **Invite N people**.
The result shows how many were invited and lists every skipped row with its reason.
| Reason | Why the row was skipped |
|---|---|
| **Already invited** | An open invitation exists for that email |
| **Already on roster** | That person is already connected to you |
| **Bad email** | The email is not valid |
| **Duplicate in file** | The email appears more than once |
| **Invalid name** | The name is missing or not usable |
| **That's you** | The email is your own |
| **Invalid row** | The row could not be read |
| **Invite limit** | Your workspace reached its limit of open invitations |
### Workspace
Pick people from your company's Google Workspace directory.
1. Choose **Workspace**. If the directory is not connected yet, an owner signed in with a company
   Google account selects **Continue with Google** and approves directory access. Google asks for the
   directory only, not Drive.
2. Search by name or email and tick the people to invite. Up to 100 at a time.
3. Select **Invite N people**.
The list shows the first 400 people in the directory. Use **File** for a larger roster.
| Message | What it means |
|---|---|
| *Sign in with a company Google Workspace account. Personal Gmail cannot connect Directory.* | You are signed in to Lexpoint without a company Google account |
| *Ask the organization owner to connect Google Workspace.* | Only an owner can connect the directory |
| *Ask a Google Workspace admin to connect Directory.* | Your Google account is not a Workspace admin |
| *This Google account is personal Gmail, not a company Workspace.* | The connected Google account is a personal one |
## Track an invitation
The **Invites** tab lists open invitations first, newest on top, and expired ones last. Each row
shows the email, the expiry date, the email delivery line, a status chip, and the invitation link
with a copy button.
```media

type: screenshot
caption: Workforce → Invites, with invitations at different delivery states and one expired invitation.
shot: /employer/workforce/invites on a demo employer workspace with four open invitations — Invited (Email sent · Not opened), Opened, Clicked, and one Expired. Light mode, 1440×900 cropped to 1383×776. Redact every invited email address, the invite link text, and the organization name.
```
| Chip | Meaning |
|---|---|
| **Invited** | Sent. Not opened yet |
| **Opened** | The email was opened. The delivery line shows *Link not clicked* until they click |
| **Clicked** | They opened the email and clicked the link |
| **Bounced** | The email could not be delivered |
| **Failed** | The email failed to send |
| **Expired** | The 14 days passed. The link no longer works |
The delivery line reads, in order of progress: *Email queued*, *Email sent … · Not opened*,
*Email delivered … · Not opened*, *Email opened … · Link not clicked*, and
*Email opened … · Link clicked …*, each with the time.
## Resend or revoke
Open the **⋮** menu on an invitation.
- **Resend email** (or **Send again** on an expired invitation) emails a fresh link and extends the
  expiry to at least 14 days from now. The previous link stops working. Resending is limited to five
  times an hour per invitation.
- **Revoke** cancels the invitation after you confirm. The person can no longer use the link.
## When an invitation will not send
| Message | Cause |
|---|---|
| *A workforce connection already exists for this email* | That person is already connected or has a connection in progress |
| *Cannot invite your own email address* | The invitation must go to someone other than you |
| *Too many pending workforce invites for this organization* | 50 single invitations are already open. Wait for some to be accepted, or revoke old ones |
| *Organization pending workforce invite limit reached* | 200 invitations of all kinds are already open |
| *Invite rate limit exceeded; try again later* | More than 20 single invitations in an hour |
## What the employee does
They open the email, sign in or create an account with that address, and accept in their own
account. The employee side is described in
[Accepting a workforce invitation](/individuals/employment/accepting-an-invitation/).
## Frequently asked questions
### What does the employee receive?
An email from employers@workforce.lexpoint.io with a link to accept. They accept in their own Lexpoint account, and choose there to connect with you.
### How long does an invitation last?
14 days. Resending issues a fresh link and extends the expiry to at least 14 days from the resend.
### Does the old link still work after I resend?
No. Resending replaces the link. Only the newest link works.
### When does the person appear on my roster?
After they accept the invitation in their own account. Until then they stay on the Invites tab.
